Executive Assistant to the CEO & Office Manager (English & Spanish)

OneNest is seeking an organized, proactive, and bilingual (English & Spanish) professional to fulfill a dual role as an Executive Assistant to the CEO and Office Manager for our main headquarters in multiple cities. This unique position is perfect for a motivated individual who thrives in a fast-paced environment and is eager to support both executive-level functions and day-to-day office operations.

Key Responsibilities: 

Executive Assistant to the CEO

  • Manage daily scheduling for the CEO, including organizing meetings, appointments, and travel arrangements.
  • Act as a point of contact between the CEO and internal/external stakeholders.
  • Support with special projects as assigned by the CEO.

Office Manager

  • Oversee office operations, including ordering supplies, managing vendors, and maintaining office equipment.
  • Coordinate office logistics to ensure a smooth daily workflow.
  • Support onboarding for new team members, including desk setup, access arrangements, and welcome materials.
  • Organize office events, meetings, and team-building activities.
  • Ensure the office remains a safe and welcoming environment for employees and visitors.
  • Collaborate with all departments to assist with their office needs.
  • Assist with new employee orientation and office setup.

Qualifications:

  • Bilingual fluency in English and Spanish (required).
  • Previous experience as an executive assistant (required).
  • Excellent verbal and written communication skills.
  • Ability to communicate with high-level executives, investors, and partners
  • Strong organizational skills, with attention to detail and time management abilities.
  • Ability to work independently and handle multiple tasks in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
